Short answer: a small business can start automating with AI for $0 to about $100 a month using free and entry-level plans of tools like Zapier, n8n and off-the-shelf AI chatbots. A professional setup adds a one-time cost, and fully custom AI software can reach five or six figures. For most owners, the right first step is cheap: one or two automations that save hours every week.
In this guide I break down what actually drives the price, what common tools cost as of November 2026, and a simple way to work out whether an automation pays for itself.
What drives the cost of AI automation?
Four things decide most of the price:
- Number of workflows. One automation (for example, new web lead → CRM → welcome email) is cheap. Ten connected workflows across sales, support and finance take longer to build and test.
- Number of systems connected. Every app you connect (website, CRM, calendar, WhatsApp, accounting) adds setup and testing time.
- Off-the-shelf vs custom. Using existing tools is fast and low-cost. Custom AI agents or software built from scratch cost much more.
- Usage volume. Most tools charge by tasks, credits or conversations. More customers and more automated steps mean a higher monthly bill.
What do common AI automation tools cost in 2026?
Here are entry-level prices from the official pricing pages, checked in November 2026. Prices change often, so confirm before you buy.
| Tool | Free option | Entry paid plan | Good for |
|---|---|---|---|
| Zapier | Free plan, 100 tasks/month | Professional, from $19.99/month | Connecting popular apps with no code |
| Make | Free plan, 1,000 credits/month | Core plan (see pricing page) | Visual, multi-step workflows |
| n8n | Free self-hosted Community Edition | Starter, €20/month billed annually | Flexible workflows and AI agents, low running cost |
| AI chatbot platforms | Some free tiers | About $19 to $89/month for small businesses | Website or WhatsApp chat that answers customers |
Chatbot ranges come from Denser’s 2026 pricing guide; Boei’s guide puts what most small and mid-size businesses pay at about $50 to $150 a month all-in. Both are vendor blogs, so treat them as ranges, not quotes.
What are typical AI automation projects and price levels?
| Project type | What it does | Cost level |
|---|---|---|
| DIY starter automation | One workflow on a free or entry plan, set up yourself | $0 to about $20/month |
| Off-the-shelf AI chatbot | Answers FAQs and captures leads on your website | About $19 to $150/month |
| Done-for-you automation package | A consultant maps, builds and tests several workflows | One-time setup + tool subscriptions |
| Custom AI agent or software | Built for your exact process, with ongoing maintenance | Highest: large upfront cost plus yearly upkeep |
For custom builds, Denser estimates maintenance at about 15–20% of the initial build cost per year. That ongoing cost is why I usually recommend proving value with off-the-shelf tools first.
One-off costs vs ongoing costs
- One-off: process mapping, building the workflows, testing, staff training and documentation.
- Ongoing: tool subscriptions, AI usage (per-message or per-task fees), and small fixes when an app you use changes.
Always ask a provider to separate these two in writing, and to list which subscriptions will be in your name. You should own your accounts and workflows.
How to estimate the ROI of AI automation
- List the repetitive tasks you or your team do every week.
- Write down the hours each one takes per month.
- Multiply by what an hour of that work costs you (wage or your own time).
- Compare that monthly saving with the monthly tool cost plus the setup cost spread over 6–12 months.
Example: if answering the same customer questions takes 15 hours a month and an hour of staff time costs $25, that task costs about $375 a month. A $50–$150 chatbot that handles even half of those questions pays for itself quickly.
Survey data backs this up. In a Tech.co survey of 300 US business leaders (reported April 2026), 22% said AI saves them 6 to 10 hours a week, and 54% reported a productivity boost. Businesses spending under $100 a month typically saved fewer than two hours, so a bit of investment in the right setup matters.
My rule of thumb: if an automation does not pay for itself within 3 to 6 months, start with a smaller one.
Is AI automation worth it for a small business?
Usually yes, if you start with a clear, repetitive task. According to the US Census Bureau, only about 17% to 20% of US businesses reported using AI between December 2025 and May 2026, and use among firms with fewer than 20 employees has not grown much. That means small businesses that automate now can still get ahead of most competitors.

Frequently asked questions
How much does AI automation cost for a small business?
Most small businesses can start for $0 to about $100 a month using free plans and entry plans of tools like Zapier, n8n and off-the-shelf AI chatbots. A done-for-you setup adds a one-time cost that depends on how many workflows and systems are involved. Fully custom AI software costs far more and is rarely the right first step.
How much does an AI chatbot cost per month?
Off-the-shelf AI chatbot tools for small businesses are commonly priced from about $19 to $89 a month, and many small businesses pay roughly $50 to $150 a month all-in. Custom-built chatbots cost much more upfront and carry ongoing maintenance.
Is there a free way to start with AI automation?
Yes. Zapier has a free plan with 100 tasks a month, Make has a free plan, and n8n offers a free self-hosted Community Edition. You can automate one or two simple workflows at no cost before paying for anything.
How much does an AI consultant cost?
It varies with scope. Many consultants start with a short, fixed-price audit that maps your processes and recommends quick wins, then quote each automation project separately. Ask for a written scope, the tools you will pay for yourself, and who owns the workflows after handover.
How do I know if AI automation is worth the cost?
Multiply the hours a task takes each month by what an hour of that work costs you. If an automation saves more than it costs within 3 to 6 months, it is usually a good first project.
